Job Description

Your responsibilities as the Team Assistant will be:

  • To provide effective, proactive group diary management and administration support to members of the SMT (8 people).
  • To arrange internal and external meetings (including Board meetings) where required, including booking meeting rooms and/or external meeting venues and to organise appropriate facilities e.g., conference call services and any lunch or refreshments
  • Attends meetings to take minutes and maintain action logs, when requested.
  • Own the collation of presentation packs and associated documentation to support key meetings (e.g., Main board pack content)
  • Support on development of presentations (strong PowerPoint skills)
  • To provide support and coordinate arrangements and handle the logistics of corporate events including sourcing and booking appropriate venues, arranging meeting rooms, appropriate facilities and equipment, catering and any accommodation bookings.
  • Supports the production and distribution of internal communications in Mailchimp.
  • Manages the remote requirements of booking the regional training centre.
  • Complete support activities or procurement to assist the SMT (e.g. purchases as gifts for individuals or one-off deliveries from suppliers)
  • Other general administration duties as required

Office Management duties (40%)

  • To ensure the support office is fully available, clean, safe and at high standards every day to all colleagues.
  • To ensure all meetings rooms and associated equipment are fully available and functional to all colleagues booked through a well-managed and fair process
  • To ensure all attendance and desk availability is managed accurately via the Envoy system
  • To be the first line of contact for all visitors and colleagues to the support office
  • To deal with general Newmedica support office telephone enquiries or re-direct as appropriate
  • To manage inbound and outbound post, couriers, faxes, generic email accounts
  • To be the first point of contact for any Support Office team facilities queries and issues
  • To liaise with Be facilities team with regards to the facilities management of the London office.
  • To ensure that the office facilities and equipment are maintained in good condition and to arrange for necessary repairs
  • Ensures that sufficient statutory lead roles are in place daily for the office including first aiders, fire marshals
  • To manage all support office purchases and subsequent deliveries
  • To handle any office related invoices and associated queries from Finance.
  • Supports other office related projects or changes as required

Travel Co-ordination (20%)

  • Work with the Specsavers travel teamto ensure the travel booking service with Click is working well for Newmedica colleagues.
  • To book all travel and hotel accommodation for Newmedica Support Office staff in a cost-effective manner, where self-booking is unavailable, or group booking is beneficial
  • To support all Newmedica colleagues in travel booking queries.

  • To handle any travel related invoice queries from Finance.

The Successful Applicant

To be successful in applying to this private heathcare organisation, you should have:

  • Diary management experience
  • Travel booking coordination
  • Excellent Microsoft office skills
