Job Description

Responsible for the management of all supply contracts across the Group, providing advice to the organisation, ensuring that obligations are fulfilled, including the administration in the prevailing systems, payment, tracking & monitoring of performance against contracts, plus oversight of renewal cycles.

Management of tender processes for the Group, proactively offering support to build trusted relationships, collaboratively working across departments and expenditure types to provide solutions and options for business leaders.

Procurement of goods, materials, and services to ensure that the company operational needs are met and delivered for best value, considering price, quality, and delivery and to ensure continuity of supply.

Creating a strategic approach to procurement, supporting all areas of the business to provide sustained growth and profitability.

Involvement in the management and creation of core Procurement policies, processes, databases, and toolkits, with a keen eye for detail, strong technical and database skills, adopting a business partnering approach.

  • Management of contracts and renewal cycles to the highest standard including reviews with Finance Director and Group Procurement Manager.
  • Timely review & planned approach to management of all expiring supply agreements. Working closely with Legal department to ensure all legal requirements are met across all supply contracts.
  • Oversight, creation and maintenance of supply contract databases, toolkits and dashboards.
  • Negotiate contracts, improve prices and terms of business with suppliers and review opportunities to deliver savings utilising negotiation and procurement best practice.
  • Management and coaching of Advanced Team Buyers across the group.
  • Maintain timely meetings and performance reviews with Advanced Team Buyers, Head of Departments, and Senior Management Team.
  • Facilitate competitive tendering processes including preparing tender packages, supplier evaluation and tender award.
  • Develop, prepare and critically review RFI, RFPs and RFQs
  • Carry out tenders for packages of services to drive best value
  • Conduct research for new/alternative suppliers of goods and services
  • Provide analysis on costs, new and existing and review cost reduction activities
  • Coordinate the efforts of the Project Team(s) to maintain information flows.
  • Assist procurement team with daily admin tasks and P2P processes
  • Act as an interface between suppliers and other relevant departments on purchasing processes and new projects and activities
  • Prepare reports, monitoring the data for procurement activities
  • Proactively review and keep existing systems to required standards and provide required training to other staff
  • Under the Halo Effect, consider the environmental and ethical impact of procurement activity, developing local agreements where appropriate.
  • Contact suppliers to resolve price, quality, delivery or invoice issues
  • Prepare reports and summarise data for supply contracts
  • Assist in managing and following up internal order
  • Support the team with CAPEX projects
  • Review and manage business card spend and staff expenditure
