Personal Assistant

About our client:

My client is a leading retail chain with a National presence.

Description:

  • Arrange meetings with both internal and external parties
  • Proactively manage all incoming mail/communications in order to ensure the appropriate action is taken including responding directly or coordinating responses from the business where appropriate
  • Provide meeting support including preparation, collation and circulation of documentation
  • Act as a representative of the Directors when greeting and accommodating visitors or dealing with telephone calls
  • Support the Directors through the production of high quality documentation and to provide input where required, including advising the business leader of the most effective and appropriate method of presenting information and ensuring the timely production of documents and supporting information
  • Prepare documentation and agendas for meetings and attend meetings as appropriate in order to take minutes and ensure all actions are accurately recorded and followed up
  • Receive, log and seek resolution to customer complaints
  • Responsible for travel arrangements throughout the business, ensuring cost effectiveness at all times
  • Responsible for the administration of the company car fleet
  • Purchase office consumables as required, ensuring cost effectiveness at all times

Profile:

  • Exceptional administration and organisational skills
  • Previous experience working as a PA
  • Excellent communication skills, both verbal and written
  • Professional individual with high level of integrity and ethics to manage role confidentiality
  • Calm under pressure
  • Pro-efficient user of Excel, Word and PowerPoint
·         Ability to negotiate confidently and professionally at all levels·         Flexible, with the ability to multi-task·         Accuracy and high attention to detail·         Ability to work as part of team and also on own initiative·         Ability to manage own workload·         Efficiency, strong work ethic and professional at all times
