Receptionist

About our client:

A key player in the professional services arena.

Description:

  • To be responsible for the day to day operation and running of the Client Suite and provide a highly professional and efficient service to all Internal and External clients. 
  • Ensure that excellent standards of Internal and External Client hospitality are adhered to at all times including catering, visual aids, room bookings and switchboard call response times.
  • Ensure that the Reception area is kept to a high standard at all times.
  • Switchboard Etiquette Policy is adhered to at all times.
  • Key priority is to work on own initiative using processes in place to ensure the day to day operational issues of a busy reception area are implemented.
  • The role will involve the effective management of the busy reception area within the Client Suite.
  • To train admin support staff in line with the switchboard etiquette.To arrange cover during holiday and sickness.
  • To ensure that all Internal & External clients are met in the appropriate manner.
  • To ensure the car park diary is kept up to date and allocate parking slots where appropriate.
  • To take messages for clients in meetings and ensure they get them at the appropriate time.
  • To carry out small amounts of typing if requested.
  • To be the Health and Safety rep for the Reading office.
  • To order and maintain the stationery and  kitchen stock  requirements of the business.
  • To check all invoices against delivery notes re maintenance, stationery, stock for client suite kitchen.
  • Update office telephone list monthly and circulate.
  • Update Business Continuity Plan.
  • Arrange couriers as required.
  • Liaison with Landlord on day to day issues.
  • Responsible for logging and reporting of copier / printer / fax issues with suppliers.

Profile:

  • Excellent Corporate Receptionist background.
  • Accurate typing skills (45 wpm +).
  • Good knowledge of Word / Excel / PowerPoint.
  • Good knowledge of IT based diary management.
  • Ability to manage / prioritise tasks.
  • Be able to identify and evaluate problems and demonstrate the ability to approach and tackle problems effectively.
  • Be flexible and able to adjust quickly when priorities change.
  • Ability to communicate at all levels within the Firm and externally.
  • Work on own initiative and be self motivated.
  • Ability to pay attention to detail.
  • Ability to work within a team environment.

Where specific UK qualifications are required we will take into account overseas equivalents.
