Team Assistant in Marketing & Operations

Description:

Operations & Marketing Duties - You will be required to provide administrative support to the Head of Operations and the Senior Marketing Manager. You will be responsible for organizing  and maintaining diaries, processing expenses and carrying out minute taking at key departmental  meetings. You will also provide administration assistance to other UK based members of  the company and Operations and Marketing teams. You will be producing Power Point presentations for the Head of Operations and Senior Marketing Manager. Providing highly organised administrative assistance for individual schedules and calendars and support for a small department of operations and marketing individuals. Coordinating travel, directions, and itinerary information and providing phone coverage.  Acts as principal liaison with senior assistants within the Operations and Marketing departments and management team in other international locations. You will assist in the in the implementation and ongoing maintenance of department record-keeping and filing systems some of which may be internet based. Compiles and maintains information relevant to the department management including maintaining budget and external cost information and presentations. This may involve the gathering of data from various sources within legal and compliance groups to create dashboards and reports.  Performs basic analysis and ensures the accuracy of distributed reports. Participates in special projects and performs other related duties as assigned. Marketing specific responsibilities -  Updating weekly calendar, Co-ordinate invoice approval and issuing of marketing PO numbers. Ensure compliance filing is up to date. Manage stocks of literature and event materials. Monitor the advertising to ensure that all advertisements appear correctly Operations specific responsibilities Assist in production of management information packs. Maintain client contact details. Co-ordinate invoice review and approval. Assist with ad-hoc tasks

 

Profile:

We are looking for an established individual with an proven track record of working within a secretarial role supporting a team or department. A strong communicator with excellent telephone and interpersonal skills is required, an individual with a positive and can do attitude is essential to become an intrinsic member of the team. A self starter who is highly organized and can work independently and as part of a team whilst paying attention to detail at all times would be required. Strong Microsoft applications including Power Point, Excel and Word are essential and Lotus notes is desirable.

Where specific UK qualifications are required we will take into account overseas equivalents.

What's on offer

35 hr week between the hours of 8.00am & 6.00pm £30,000 to £32,00 Annual Bonus Structure
