PA to Director

Description:

Overall -

Performs full PA duties of a responsible and confidential nature, often to tight deadlines, in support of one or more Directors/Senior  Managers; maintain highly confidential information and files and effectively organises and expedites the flow of work through the Director’s office; the role holder must build close working relationships between the various internal stakeholders and PA peers to ensure the smooth operational running of the Director’s office.

Duties -

Communicates  instructions or desires to the immediate business or other departments/individuals, and obtains information from other Directors and Senior Managers, initiating follow-up action as required; receives and screens telephone calls, letters, and/or visitors; answers routine questions and provides information; effectively screens Director’s e-mail and categorizes them for information, action etc and notes relative priority; schedules appointments and makes arrangements for meetings, conferences, accommodation and travel, noting details in the diary; organises and maintains confidential files of correspondence and personal records, following up on pending matters as appropriate; routes or answers routine correspondence not requiring the Director’s attention, and effectively prioritises responses in a timely manner; prepares routine letters and other correspondence for the Director’s signature; supports the preparation of complex correspondence, special reports and  presentations by gathering and summarising data; attend meetings as and when required, including minute/action taking.

Profile:

  • Must have current or very recent PA/Executive Assistant experience, supporting Directors or Senior Management
  • Experienced in creating and maintaining high quality reporting packs for weekly/monthly reports for various audiences
  • Experience in drafting presentations is desirable.
  • Be able to prioritise and enjoy working in a team environment as well as on their own
  • Possess excellent communication skills, both verbal and written and be able to demonstrate an awareness of confidentiality of issues/information. 
  • Be able to maintain a cheerful temperament when under pressure.
  • Be able to demonstrate problem-solving skills, initiative, strong interpersonal skills, diplomacy and be comfortable working in a confidential and trade unionised environment.
  • Developed PC skills and have a good knowledge of IT packages including Word, PowerPoint, Excel, Outlook and SAP.
