PA to HR Director

Description:

To provide full 1:1 administrative support to the HR Director

This position is suitable for an individual showing high achievement drive and customer service skills.  Competency in Microsoft Office and attention to detail is essential. The ideal candidate will need to be confident, proactive and passionate about their role. Trust and discretion is critical at all times due to the individuals’ exposure to confident and sensitive information.

 

  • Good secretarial skills producing high quality internal/external correspondence
  • Proactive recommendations to improve HR systems and processes as they impact HR Director
  • Assist with preparation, copying, binding and distribution of presentations and reports where required
  • Responsible for all travel arrangements
  • Speedy and proactive processing of incoming/outgoing faxes and post, redirecting as necessary
  • Maintenance of filing systems affording efficient document retrieval and control
  • Handling incoming calls and messages with great customer service, answering and redirecting as necessary
  • Ordering office equipment as required
  • Responsible for arranging meetings as required, booking meeting rooms and hospitality, arranging teleconference or video conference calls
  • Manage HR Director’s expenses
  • Assist on adhoc projects
  • Support other members of the HR Team where required

 

Profile:

  • Proactive delivery
  • Organisation & time management skills – prioritisation, delivery to deadlines, and management of expectations where appropriate
  • Strong competency in Microsoft Office
  • Good telephone manner
  • Adaptable communication style – ability to effectively communicate verbally and in writing to different audiences
  • Able to demonstrate total confidentiality, diplomacy and discretion in all matters
  • Creative thinker – being willing to tackle problems
  • Accuracy and attention to detail
