Equities Sales Desk - Team Assistant
London City/EC • Temporary - £16.00 per hour

A leading City Bank based with offices near Liverpool Street Station
Description:
We are looking for a proactive and conscientious team player to join the Equities Sales Desk of the leading Bank. In this position, you will be working alongside another Assistant supporting a team of 12 traders.
- Provide full secretarial service including extensive telephone cover for the team (mainly international calls). Must take accurate messages.
- Diary management and planning for 12 people with limited supervision - involves working and liaising with internal/external senior executive assistants
- Extensive travel arrangements including co-ordinating with overseas offices with regards to flights, transfers, meetings, dinners, always making sure it is within bank policy
- Complete T&E claims accurately and on time
- Assist Head with ad hoc administrative tasks
- Assist with corporate & research NDRs/ marketing trips/ conferences
- Assist with PowerPoint presentations
- Assist with organising hospitality, offsite events and conferences.
- Prepare the agenda, obtain, organise and consolidate support materials and taking the minutes for weekly meetings and calls
- Organise and book meetings for the key members of the team.
- Organise files.
- Manage emails, when applicable.
- Review agenda with the Global Head and prepare supporting materials
- Organise email/contact distribution lists
- Holiday/Leave planning for the whole team
- Control performance assessment process
- Working hours – 8.00am to 6pm
Profile:
The team assistant will have to make decisions on a range of day-to-day trading desk activities that require preemptive planning, discretion, reliability and communication skills. The team assistant will also lead and exert administrative and logistical ownership of flagship conferences hosted by the Equities Sales desk in London.
- Advanced PowerPoint and Word
- Basic MS Excel
- Experience with senior management
- Excellent organisational skills
- Confidence, flexibility, reliability and discretion
- Ability to interact confidently at all levels and comfortable with external parties
- Proactive approach with limited need for direction or supervision
- Ability to multi-task and manage ever changing and often conflicting priorities (particularly diary management)
- Strong written and verbal communication skills
- Exercise initiative in adapting and applying procedures to address problems
- Tact and diplomacy in dealing with sensitive issues
- Strong work ethic and attention to details and execution
