- Communicate by e mail with members of the Fund Management division and Corporate Governance team to ensure accurate and timely voting.
- Scan all meetings in ISS on-line voting system for non-routine or contentious issues and highlight these to Fund Management.
- Transfer data from ISS on-line voting system into Excel in order to diarise all meetings and maintain voting records.
- Schedule stock lending recalls for meetings.
- Arrange attendance for Fund Managers at meetings.
- Ensure an adequate audit trail of voting explanations is maintained.
- Liaise with ISS staff to investigate and resolve issues.
- Produce regular reports to Client Services.
- General clerical duties in support of all the above.
- Provide cover within department.
Who we're looking for
- Strong administrative or clerical experience within Financial Services
- Excellent, effective communication skills – both verbal and written
- Ability to deal with people at all levels
- Computer literate: good working knowledge of Excel and Word
- Good accurate keyboard skills
- Attention to detail
- High level of numeracy
- Ability to produce accurate work through self-discipline within strict timescales
- Ability to organise and prioritise to consistently meet deadlines
- Knowledge of Lotus notes
- MUST HAVE AN ENGLISH HIGHER GRADE OF B OR ABOVE
