About Our Client

Excellent organisation based in East Leeds is seeking an experienced Property Officer to join their team.

Job Description

  • To source new contractors and support the Property Manager with the tendering of new contracts. Ensuring contractor is fit for purpose.

  • Provide technical support service to multi site staff in diagnosing repair and maintenance problems. Progress chasing contractors as and when needed to achieve the best outcome.

  • Communicate effectively with all sites throughout the division the approved contracting arrangements for the full range of repair and servicing requirements to enable them to contact the right suppliers at the right time.
  • Provide information and reports on maintenance as necessary. Produce regular reports on performance of house/home against budget to enable site based staff to manage their performance.
  • Ensure that accurate records are kept for audit and regulatory purposes and also to meet Policy and Procedures.
  • Lead on health and safety requirements for the facilities management of the Divisional/Regional offices as required in liaison with the Health and Safety Department maintaining relevant risk assessment documentation.
  • Liaise with the health and safety department to ensure effective systems are in place for capturing health and safety concerns and queries from front line staff. Ensure that any learning from incidents is appropriately shared in a divisional lessons learnt log to avoid re-occurrence.

  • Provide a front line support service to scheme based staff in assisting them with finding value for money and timely solutions to any property concerns in line with the required standards.
  • Manage the customer relationship between the site based divisional staff i.e. the Home/House Managers and the relevant contractors/ in- house maintenance staff, particularly in relation to day to day maintenance and servicing.
  • Create and monitor systems for keeping up to date the records for testing and servicing of equipment within the organisation. Liaising with teams and contractors to ensure work is done and certification is provided as required.
  • Establish transparent systems for monitoring property related expenditure at the scheme level to assist in achieving operational house and home budgets in conjunction with the divisional finance team.

The Successful Applicant

  • A proven background in Facilities Management with excellent technical maintenance knowledge
  • Must have a background dealing with tenders, contractors and budgets.
  • Health and Safety experience and site audit experience.
  • Must have proven experience managing multi site hard services maintenance department
  • An understanding of the rights, and housing and care needs.
  • Experience of working in a similar multi site environment with tenanted properties
  • Able to manage multiple tasks effectively
  • within challenging timescales

  • Exceptional customer service skills
  • Good IT and numeracy skills
