About Our Client

The client is a social housing association and the office is based in Colchester, Essex

Job Description

  1. Ensure effective liaison with contractors and customers as necessary on the placing and follow up of repair orders.
  2. Maintain records and prepare statistical reports on repair order activity, customer satisfaction, contractor performance and planned maintenance.
  3. To maintain the gas servicing database and carry out all administrative processes to ensure the association carries out its obligations in respect of gas appliance servicing.
  4. To maintain and implement systems for periodic servicing and safety checks, including passenger lifts, fire alarm ad fire fighting equipment, legionella testing and electrical systems and equipment
  5. To manage, monitor and progress insurance claims, including third party liability and property claims and to carry out inspections and investigations in relation to any insurance claims made by or against the housing association. Ensure claims are effectively processed and records kept up to date.
  6. To develop and maintain repairs and asset management databases along with any other property and/or investment related software they should acquire
  7. Administration of the decorating scheme
  8. To carry out pre and post inspections of repair and maintenance defects / work, including issuing works orders and communicating, liaising and meeting as necessary with contractors, residents, colleagues, carers, care providers and managing agents.
  9. To take responsibility for inspections of housing stock and related sites, the preparation of specifications, tenders, supervision and handover of works and liaison with the housing team for void properties where significant remedial works are required.
  10. To ensure responsive maintenance work is recorded in the appropriate format in order to keep the stock condition database up to date.
  11. To provide a range of reports relating to responsive maintenance activity and expenditure as required.
  12. Assist in carrying out corrective actions following risk assessments such as fire, general, legionella and asbestos.
  13. To assist in the management of projects delivering major or cyclical works as directed by the Property Services Manager.
  14. To carry out site visits to verify schedules of work, inspect materials, goods and workmanship before, during and after works. Take corrective action to remedy unsatisfactory standards of work, in liaison with the contractor and if necessary with the Property Services Manager.
  15. To carry out inspections of completed work to validate contractor payment claims and compliance with contractual terms, keeping appropriate records of these inspections and additional payments to be authorised if necessary by the Property Services Manager.
  16. To be aware of health and safety regulations and best practice, and to promote them in all areas of work.

The Successful Applicant

The successful applicant will have:

  • Worked as a property services officer/ maintenance inspector before for residential properties.
  • Have strong technical knowledge regarding maintenance and repairs for residential properties
  • Must know the procedures & report processes for pre and post inspections
  • Have good time management
  • A keen team player
  • Good communication skills
  • Understand the importance of following up on each job
  • Ability to build good relationships internally and with contractors
  • Good customer service skills
