About Our Client

The London based accountancy company dealing with chartered Accountants, tax consultants and business advisers. The company is rapidly expanding and are looking to continue their growth. They have been established for many years building a great reputation for themselves.

Job Description

Successful applicants for the role as practice manager will be given these duties:

Maintaining company records up to Trial balance

Supervising raising of fee notes

Administration of Expense Claims

Supplier Invoice Payments

Liaising with outsource credit controllers

Sundry duties

Job scheduling

Supervising payroll preparation for clients.

Point of contact with clients

Reviews of Internal Administrative procedures on an ongoing basis and the implementation of new procedures to make this function of the office run efficiently

Database Maintenance and Management- to include overseeing the 'cleaning' of data and inputting of new client data to make it a usable and relevant database. You will also be required to have a good working knowledge of the system in order to extract and utilise relevant reports for management analysis as required

Document Management System- to ensure that this is being used to its best capabilities and that all documents are scanned and filed appropriately

Implementation of templated documents for regular letter or email correspondence with clients or third parties e.g. HMRC or Companies House

Timesheet Management - to ensure that all employees completed their timesheets as required

Implementation and subsequent management of the invoicing process on a daily, weekly, monthly and annual cycle

Managing any large mail outs or email merges using a mail merge from the Practice Management software where appropriate.

Set up of New Clients following all relevant admin procedures including ensuring all compliance documents are completed and relevantly filed and new client is set up with all necessary detail onto Practice Management system

Management of closed clients ensuring all relevant admin procedures are followed including billing final amounts, writing off remaining WIP and closing on the Practice Management system.

To oversee the external IT Function and to ensure that downtime is kept to a minimum in the office

The Successful Applicant

Successful candidates for the role of practice manager will have a profile similar too:

Part qualified accountant or an individual with bookkeeping background

Computer literate

Excellent accuracy

Professional manner

Good time-keeping
