My client is part of the NHS; they are currently expanding their payroll team and require a payroll administrator that has worked with Agenda Change.

Job Description

Duties and Responsibilities

Support the Payroll and Pensions Officer and other members of the payroll team in the day to day administration of the department.

Support and complete routine and timely complex data entry including starters, leavers, changes to pay and NHS Pension Agency, pension on-line data submissions. Data entry will require analysis of complex data to identify and rectify errors. This involves judgement of a range of complex and detailed information, facts, data analysis, comparisons and reference to data in payroll or pension systems.

Update, report, organise and proactively manage maternity and paternity leave calculations, ensuring correct calculations are being applied by the payroll bureau and legislative changes and Agenda for change rules are correctly interpreted and incorporated. Post holder will be principle reference point for communicating to all stakeholders regarding maternity and paternity leave.

Solely responsible for completion and dispatch and return of monthly excel pay-cards for two payrolls, including the monitoring and chasing of all pay-card returns. Pay cards are used by all budget managers for two payroll's and are used to log and pay additional hours, overtime and enhancements (Unsocial / Saturday / Sunday). Post holder will complete and update, starters, leavers, variations to hours, cost centres and to check the integrity of formula's, cell protection and formatting in workbooks for sending out once a month. The post holder will systematically and routinely check and audit all monthly returns, keeping an audit trail of review for further scrutiny and review by Payroll and Pensions Officer, the Finance Manager or external auditors.

Run recurring reports weekly and proactively address any issues with data quality, by seeking clarification and updates from co-owners, recruitment and/or budget managers.

Two key and recurring routine reports required include professional registration checks and post type reviews. Other reports may be required on an ad-hoc basis as directed by the Payroll and Pensions Officer or Finance Manager, for example an annual return, review and update for NHS Pensions. Specifically the key report required on Professional Registration pin numbers for existing co-owners and starters is to ensure CQC compliance for good governance and to comply with regulation 19 "Fit and Proper persons employed".

The key report, review and update on correct post types completed is to check that the post reflects the co-owners profession, cost centre and concurs with starter form information and is ultimately to ensure organisational accountability and control of establishment and post costs.

The Successful Applicant

  • Experience in working in the NHS
  • Experience working in payroll - payroll administration will be sufficient
  • Able to commute to Leatherhead on a daily basis
