About Our Client

Our client, a large financial services company based in Newport are in need of an immediately available PA to join their team on an ongoing temporary basis

Job Description

The duties of the PA role include, but are not limited to:-

  • To provide high standards of support to management team members ensuring that all necessary arrangements and relevant documentation are well prepared and available ahead of meetings
  • To comprehensively and insightfully manage the diaries of the management team, coordinating internal and external meetings with due attention to individual preferences and requirements
  • To arrange complex travel and accommodation logistics as required, ensuring clear communication and timely confirmation of travel itineraries
  • To design, produce and collate quality documents in MS Office for review as needed, in order to provide effective support and assistance for ad hoc initiatives
  • To manage expense claims and the completion of credit card statements in a timely manner
  • To deal with correspondence efficiently, drafting letters and emails as needed, and proactively dealing with all administrative duties such as photocopying, binding and filing
  • To proactively identify ways in which the management team can work more efficiently, agreeing and implementing appropriate systems accordingly
  • To provide support for Board Members and Board meetings including but not limited to the following:
    • Arrange assistance with hotel and travel bookings for Non-Executive Board Members
    • Locate and secure board dinner venues providing board members with details

The Successful Applicant

The ideal candidate for the PA role:-

  • Prior experience as a PA working with Executive level stakeholders, ideally within a professional services environment
  • Highly literate and articulate, with excellent communication skills and ability to adapt communication style for all stakeholders including Board members
  • Strong attention to detail, with a drive for continuous improvements
  • Approachable, professional and able to build relationships quickly and effectively at all levels
  • Proactive, self-motivated and driven to provide an excellent PA service with minimal supervision
  • Strong problem-solving skills and action orientation
  • Discreet, diplomatic and able to handle sensitive information in complete confidence
  • Excellent organisational skills for self and others, with the ability to multi-task and work to multiple deadlines, with particular expertise in prioritising and scheduling effectively
  • Highly proficient at planning and organising executive arrangements
  • Takes pride in accurate and well-presented documentation
  • Has a positive attitude with a high degree of flexibility
  • Highly adaptable and responsive to change
  • Proficient in MS office
