Job Description

The successful candidate will have the following duties:

Manage the Company Secretary's diary, organising meetings, booking rooms and ensuring that she arrives to each meeting on schedule and with all the relevant information.

Scheduling Executive Committee and Joint Venture meetings, liaising with internal and external teams as required.

Collating, uploading, binding and distribution of packs and relevant papers for:

the Board and Board Committees (Audit, Nomination and Remuneration) which meet monthly;

the Executive Committees which meets weekly;

Joint Venture Boards which meet quarterly/half yearly.


liaison with both internal and external teams to ensure that all papers are received in a timely manner;

for Executive Committee meetings only, prioritisation of agenda items, diarising attendance of individuals sponsoring papers and updating all matters arising for Heads of Department;

Prior to distribution, proof reading of all documents to ensure accuracy and a good standard of English and formatting to ensure guidelines are adhered to.

Responsible for the updating of policies and procedures and forms relating to authority levels/processes.

Responsible for the in-house contents maintenance of the website and intranet including press releases/awards/property updates throughout the year.

Responsible for the organisation of Board & Head of Department dinners.

Invoice/cheque and internet banking payments

Answering all telephone calls and maintaining constant secretarial cover during working hours including taking the initiative to filter calls and learning the important, regular contacts.

Collating and inputting of expenses for the Company Secretary and the Non-Executive Directors on a monthly basis.

Ensuring Hospitality and Training forms (including for Non-Executive Directors) are completed and submitted on a timely basis signed off by the Company Secretary as necessary.

Provide cover, where required, for the PA's to the Chief Executive and Finance Director.

Keep the Company Secretary's list of contacts up to date.

Personal work

There will be a small element of personal work for the Company Secretary.

The Successful Applicant

The successful candidate will need to have the following, it is essential that all criteria are met before submitting an application:

Minimum 3 years experience supporting at Director (board level) on a 1:1 basis

Stability within an organisation- PLC environment preferred

Small organisation background- working in a team environment

Document drafting and proof reading, collating large scale document packs to tight deadlines

Advanced Outlook, Word, Excel, PowerPoint skills

Excellent attention to detail and accuracy

Outgoing and friendly and builds warm, positive relationships with others both inside and outside the business

Ability to remain calm and unflappable in pressured situations

Confidence to manage upwards and challenge appropriately

Ability to flex communication style and approach to deal effectively with a wide range of stakeholders from Board members and external contacts at senior level to other PA's and Team Secretaries

Ability to handle private and confidential information with an appropriate degree of discretion and diligence
