Job Description

Job Purpose of Operations Administrator

To ensure consistent delivery of service and support to key internal and external stakeholders on all project based activities. Ensuring that Customers receive an excellent service from start-to-finish. Providing internal support ensuring strong working relationships throughout the business. Delivering an efficient cost-effective service ensuring you organise work efficiently.

Job description;

  • Schedule and manage the direct and subcontract installation work load
  • Undertake the daily issuing and completion of contracts
  • Liaise with Sales, Commercial, Warehouse and suppliers in a constructive manner to ensure the functions and processes are carried out in a smooth and efficient way to support our scheduling activity.
  • Raise purchase orders
  • Maintain project spreadsheets to support operational and commercial procedures and objectives within the team.
  • Provide administration support to field based personnel and have the ability to assist the rest of the business with the customer relationship process.
  • Upon receipt of a new project, initiate the validation/pre start process with Sales, Suppliers, Subcontractors and Customers to ensure commercial viability and right first time approach to the project delivery.
  • Assume responsibility for the planning and management of project site based activities, including health and safety, sourcing, planning and managing labour resource, material deliveries, quality management, sign off and problem resolution.
  • To provide support for the Operations Manager and the Team to assist in the smooth running of the projects.

Skills & Attributes:

  • Multi-tasking with a calm, organized and focused approach
  • Positive and self-motivated
  • Punctual and reliable in terms of working hours and meeting deadlines
  • Logical and methodical approach to ensure work is scheduled accurately, efficiently and effectively.
  • Computer literate, with the ability to use I.T. systems to support the requirements of the role
  • Flexible to work longer hours and carrying out other tasks as reasonably required.
  • Excellent telephone manner, able to build rapport with site personnel at various levels.
  • Excellent attention to detail - high accuracy when reviewing work
  • Computer skills in MS Office and ability to learn new systems

The Ideal candidate for this Operations Administrator role will have 2 years or more experience in a customer-facing/scheduling/ project role - ideally within the construction/distribution industry.
