Job Description


Responsible for recruitment across all the business divisions, supported by the HR Administrator, including:

    • Liaison with Line management and recruitment agencies (in conjunction with HR Admin Assistant) in relation to recruitment needs;
    • Checking with recruiting Line Managers that Job Descriptions are accurate and up to date, and if not, amending accordingly;
    • Carrying out interviews in partnership with Line Managers where appropriate;
    • Drafting offer letters and contracts for review by HR Manager/General Manager, and sending out accordingly;
    • Actively managing the Recruitment Preferred Supplier List;
    • Producing monthly and quarterly recruitment statistics.


  • Carry out temporary/new starter inductions as appropriate.
  • Take overall responsibility for ensuring the following tasks are carried out, delegating these to the HR Administrator where appropriate:
      • Liaising with HR & Line Managers to organise induction schedules, and ensuring probationary period objectives are set;
      • Sending out induction checklists to relevant parties;
      • Arranging health and safety inductions for new starters and maintaining records of DSE Assessments in Achiever;
      • Logging end of probation dates and sending reminders to Line Managers two weeks prior to probation end date (cc H R Managers/General Manager);
      • Ensuring probationary reviews are carried out, and appropriate documentation is issued/received before probation confirmed, in line with Induction Checklist;
      • Sending out end of probation confirmation letter

HR Administration

  • Ensure appropriate paperwork procedures are carried out for leavers.
  • Organise and carry out exit interviews and collate feedback on the shared drive summary sheet, submitting this to the HR Director (cc HR Manager/General Manager) on a quarterly basis.
  • Send contractual change letters as advised by HR Manager/General Manager (e.g. Role changes, salary increases, changes to working patterns).
  • Produce monthly and quarterly reports on staff absences, investigating and highlighting areas of concern to HR Manager/General Manager.
  • Produce monthly KPIs relating to headcount, turnover, recruitment and training for discussion with and review by HR Manager/General Manager. Liaising with the HR Manager/General Manager or Health and Safety Manager if appropriate to arrange Occupational Health appointments when required.
  • Update the Employee Handbook as and when required, notify staff accordingly and maintain a record of all updates.
  • Take notes at quarterly meetings if required.
  • Job Grading - participate in Job Grading Evaluation Committee meetings, update the Paygrade system, assist with the overall administration of the job grading process
  • Act as the Key Contact on the UKBA Sponsorship Management System, ensuring the sponsorship licence is renewed, certificate of sponsorship allocations are kept up to date and Sponsor duties are complied with;
  • Conduct Resident Labour Market Tests when required in line with UKBA Guidelines;
  • Issue Certificate of Sponsorship Certificates in line with UKBA Guidelines;
  • Ensure all ICO registrations for all UK group companies are up to date.

Employee Relations

  • Answer general day to day queries from staff.
  • Carry out disciplinary, grievance, and performance management cases as required by HR Manager/General Manager.
  • Take responsibility for following up any "D" appraisal ratings with relevant line managers.
  • Organise and carry out maternity and paternity meetings with staff, including risk assessments where required, produce maternity and paternity planners, and advise payroll of leave arrangements.


  • Organise & Plan Team Leader training as required; liaising with European HR Management and Line Management as required.
  • Manage and Administer LNG specific training.
  • Logging and monitoring study support agreements.
  • Obtain approval for training via the Achiever system.
  • Deal with Training queries in the absence of HR Managers.

The Successful Applicant

The ideal candidate will:

  • Be operating at HR Advisor/Officer level already
  • Have knowledge of dealing with ER casework independently
  • Have knowledge of dealing with sponsorships
  • Have managed recruitment campaigns previously
  • Industry experience would be a bonus
  • CIPD qualification is desirable
