Our client are a successful global Real Estate Firm based in the London West End

Job Description


  • Coordinate the recruiting process for all approved new hires.
  • Liaise with agencies and internal clients to arrange interviews
  • Update recruitment database
  • On-boarding
  • Utilise Workday on-boarding program to provide employees with key information about the Company's policies and guiding principles prior to start date.
  • Start Screening checks for new joiners
  • Request systems access for new starters in liaison with Managers
  • Liaise with internal clients to enable a smooth onboarding
  • Deliver induction presentation
  • Adding new joiners to Employee directory and Send word now.


  • Monitoring absence
  • Ongoing coordination of probation period


  • Full ownership of the administrative functioning of the HR Team
  • Providing general administrative support to the HR team ensuring that records and systems are maintained.
  • Providing up to date accurate information to employee's queries, in particular about their specific level of benefit cover.
  • Draft letters to employees as required; employment confirmation, resignation acceptance, references, etc.
  • Business travel insurance reporting to broker
  • Update floor plan and organisation chart documents.
  • Health and Safety
  • Maintain compliance on all regulatory health and safety programs.
  • Communicate and train all employees on the health, safety and security plans and policies.
  • Ensures that there is First Aid and Fire Marshal cover as legally required.
  • Ensures all H&S policies and risk assessments are up to date and fit for purpose.


  • Primary responsibility for the HRIS
  • Ensure accuracy of employee database and HCM employee/management reports in Workday and other relevant systems (inclusive of contractors and consultants).


  • Perform all necessary administrative functions regarding payroll changes, including all aspects of international relocations, split pay and cost of living arrangement.
  • Perform all necessary administrative functions regarding new hires, transfers and terminations.

Supplier Management

  • Manage the relationship with suppliers
  • Inputs invoices into database
  • Liaise with HRM for office budget management and supplier re-negotiations.

The Successful Applicant

To be considered candidates must have

  • A mix of both HR and Office administrative experience
  • Experience working within a Real Estate Firm, an Asset Management Firm or an SME private sector business

The ideal candidate will have:

  • Knowledge of health and safety management.
  • Exceptionally high attention details and accuracy rates
  • Be resilient when working under pressure
  • Organised, disciplined and detail orientated
  • Ability to work proactively, collaboratively and flexibly as part of a team
  • Excellent communication skill both verbal and written
  • Customer service orientated
  • Ability to multitask, set priorities and meet deadlines, proactively resolved workload conflict issues.
  • Excellent Microsoft skills
