Our client are a fast paced media business based in Central London.

Job Description

  • Recruitment -Keep an up to date job description library, place local adverts, liaise with candidates and recruitment agencies as required, organise interviews and provide candidate feedback. Keep track of candidate submissions from recruitment agencies to ensure no duplicate submissions occur.
  • Hiring - draft offer letters and employment contracts ensuring all pre-employment checks are completed. Organise, co-ordinate and assist with staff Induction, ensure a seamless orientation process for all New Hires.
  • Performance and Talent - Recap completion of 90-day reviews and draft probation confirmation letters; recap completion of Annual Performance Appraisals and track completion of development activities. Run reports from Success Factors (Online Appraisal System).
  • Immigration - maintain an accurate employee list on UK Visa sponsorship; assist in the administrative process including liaising with the immigration attorney to ensure requests for information are processed.
  • L&D - support the administration of learning and development activities and programmes, partner with the specialist L&D team in the US. Lead specific employee training sessions.
  • Benefits - oversee the administration of the Group Employee Benefit schemes including keeping an up to date library of employee membership. Provide employee advice on eligibility and scheme terms, liaise with the appointed benefit broker representative on queries. Lead the roll out of the Pension Auto-enrolment scheme in Q4.
  • Payroll - collate payroll data and keep track of monthly payroll log, enter data onto HR Database and payroll system, keep track of employee payroll deductions, ensure holiday pay-outs are accurate and compliant. Liaise with Finance colleagues and ensure employee data is communicated appropriately.
  • Compensation - assist in the administration of the annual cycle relevant to merit increases, bonus, promotions, draft and issue letters.
  • HR Policy - interpret UK HR employment law and best practice and provide accurate advice to employees and managers. Update the UK Employee Handbook as required. Keep up to date with developments in UK employment legislation, knowledge sharing with the HR team to ensure continuous improvement in the service offered.
  • Holiday/Absence monitoring - Answer questions related to annual holiday accrual and pay-out upon termination. Monitor Holiday use from the HR database data.
  • MI- put in place a dashboard with relevant MI information. Produce reports (e.g Headcount, Turnover, Recruitment stats, leave of Absence, Holiday), respond to ad-hoc reporting requests and analyse trends across UK and Europe.
  • HRIS - ensure all new hires are set up on Share Point System. Update the newly launched HR database with employee details and lead the roll out of the 'Time off' module in Q3. Maintain all personnel records in accordance with the Data Protection Act, update the Recruitment HRIS with vacancy information, be a proficient user of the Performance Appraisal system and be the point of contract for advice for all employee queries.
  • Audits - Perform ad hoc audits to all staffing reports (from HR data to Timesheet information) including reports used to drive annual merit and promotion planning.
  • Support various Company special events or programs.
  • Administrative - schedule meetings, prepare materials for meetings, take notes and recap meetings, ensure necessary supplies are on-hand, and assist in room set-up/break down as needed.
  • Assist the HR Director with special projects as assigned.
  • Partner effectively with the US HR colleagues (Specialists and Generalist team) to deliver accurate and timely solutions around ad-hoc tasks and projects as assigned.
