About Our Client

One of the UK's largest Investment Management companies which has been established for over a decade and has assets under management in the hundreds of billions of pounds. Our client has offices in multiple countries round the world and require a HR Administrator to join their organisation on a three month contract.

Job Description

Duties will include:

HR Administration

  • First point of contact for queries from colleagues and clients (face to face, email, telephone).
  • Ensure individual colleague personnel files are maintained in line with data protection legislation.
  • Assist the HR BP's and HR Consultant with queries relating to HR policies and procedures and other HR projects as and when required.
  • Help with on-boarding of all new staff, including organizing induction, file creation, referencing.
  • Ensuring all data relating to the HR Administration which is held on spreadsheets/systems is recorded and is accurate and updated in a timely fashion.
  • Dealing with benefits questions from employees, including questions around flexibility, or referring on to the compensation and benefits team when appropriate.

Recruitment Administration

  • Working with the recruiter on all aspects of recruitment admin, including the utilisation of a recruitment system to manage roles/candidates.
  • Booking meeting rooms and contacting candidates as and when required.
  • Generating contracts and offer paperwork.

Learning and Development

  • Work with the L&D Manager for all L&D administrative requirements
  • Booking training and ensuring attendees are invited to the relevant sessions.
  • Managing the administration of the L&D Intranet site.
  • Processing of the L&D invoices for authorization by the L&D manager.
  • Print and production of presentations and training documents.
  • Manage the L&D budget and bringing necessary items to the attention of the L&D Manager.

Team Administration Support

  • Supporting the HR team in diary management, meetings, booking meeting rooms and coordinating with internal clients and external suppliers.
  • Dealing with incoming communication, such as post, email and telephone enquiries on a priority basis.
  • Organising events including room bookings, caterings, sending out diary requests.
  • Coordinating travel plans for the HR team.
  • Maintain the holiday and absence system for the department ensuring all holidays are approved by the relevant line manager.
  • Providing support to the EA/HR Projects role in the management of HR Directors diary/meetings including room bookings.

The Successful Applicant

To be successful in your application candidates much demonstrate some of the following skills/credentials:

  • 2.1 or above in a relevant subject or post-grad qualification in HR Management
  • Prior history in working as a HR Administrator - Ideally in Financial Services or other corporate companies
  • Be immediately available or on a maximum one weeks notice
  • Strong system skills with MS Office packages - PeopleSoft would be very advantageous
