Job Description

  • Completing the data processing of employee start and variation forms, P45s, P46s and other HMRC documents, assisting in processing both the fortnightly and monthly payroll, filing and management of paperwork, completion of requests for data such as distributing payslips, reports and P45's, and preparing month end arrestment's and invoicing.
  • Providing cover for daily duties to ensure mail, faxes, paperwork are kept up to date in the pre-arranged absence of the Payroll Supervisor
  • Working closely with other team-members in updating and inputting fixed and variable data to the payroll system; where necessary, the manual calculation of wages; the processing to BACS of fortnightly wages and the distribution to properties of payslips and management information.
  • Performance of reconciliations and other administrative tasks that support the Finance team in accounting for payroll related transactions.
  • Raising sales invoices using in-house finance systems
  • Where required, the post holder may be required to assist with general administrative and analysis duties within the greater finance/administrative functions of which may require making use of other in-house I.T applications.
  • Through personal example, demonstrating the commitment to excellence of customer service - both internal and external.
  • Ensuring accurate and complete information is provided to queries from internal and external customers.
  • Providing support in maintaining the Fixed Asset Register, this includes additions, disposals and the calculation of monthly depreciation.
  • Create and distribute key month end reports on headcount and debtors.
  • Assisting with Vat, including monthly analysis for quarterly VAT submission - specific schemes; determining VAT rate for new retail and catering products, reviewing daily transactions for VAT coding issues.
  • Create monthly Statement of Financial Activity and resolve any errors. Update and reconcile Support Costs and their allocation.
  • Complete monthly balance sheet reconciliation on a range of control accounts.

The Successful Applicant


  • Current experience in processing computerised payroll systems with high volumes of employees and tight deadlines.
  • Demonstrable knowledge of current HMRC rules regarding PAYE, NI, SSP, SMP, etc, with the ability to quickly adapt to the use of the Trust's in-house software and procedures
  • Confident and experienced use in MS Windows Explorer and file management (i.e. copying, moving, backing up, restoring and locating files)
  • Proficient and experienced user in MS Excel, MS Word and MS Outlook combined with the ability to quickly pick up and self-learn use of other Windows based applications
