Job Description


  • Purchase orders are submitted to suppliers on a timely basis.
  • Ensure purchase orders are raised accurately. This includes correct VAT treatment of purchases, delivery location, supplier, supplier site.
  • Ensure an appropriate audit trail is held, including collecting and filing delivery notes from all locations on a daily basis; that segregation of duties is upheld and that purchase orders follow the correct approval process.
  • Proactively chase suppliers/departments/purchasers for information.
  • Maintain and update the financial database with changes to supplier addresses, banking details and other changes where necessary.
  • Take responsibility for reviewing, investigating and where necessary resolving issues with open purchase orders on a monthly basis.

Financial Transaction Processing

  • Prepare appropriate documentation and make bursary payments on a monthly and quarterly basis according to lists provided by the Financial Reporting and Analysis Officer.
  • Manage Conferences and on-line store payments . To include setting up appropriate online payment facilities, ensuring accurate coding and providing reporting and reconciliations, as appropriate.
  • Keep up to date reconciliations .
  • Run a weekly suite of complex financial management reports.
  • Collate and review data on a monthly basis, to enable accurate recharging of relevant costs
  • Develop good relationships with key contacts from the Central Finance Teams.
  • Develop good working relationships with other members of the Team.

The Successful Applicant


  • Previous experience of working a high volume transaction processing environment
  • Ability to generate high volumes of accurate work, with a high attention to detail
  • Good communication and customer care skills, i.e. the ability to deal sympathetically with a confused member of staff but firmly and professionally with a recalcitrant supplier such that the latter delivers
  • A high degree of financial and computer literacy
  • A sound knowledge of accounting principles and the ability to develop understanding of


  • Understanding of Oracle Financials and advanced spreadsheet skills
  • An AAT studier or potential studier - support will be provided
