Job Description

Work closely with the School Business Manager (SBM) to ensure smooth operation of all finance matters and contribute to the development of basic finance systems & practices


  • Support the SBM by inputting into sales and purchase ledgers from source documents
  • Assist in the production of financial statements and applications, preparation of spread sheets, reports and correspondence as required and to ensure clear formatting & presentation
  • Prepare statutory payments
  • Assist with end of quarter and end of year preparation and procedures
  • Prepare purchase orders and code and process purchase invoices
  • Match invoices to statements and purchase orders to invoices
  • Generate sales invoices Input accounting data into the accounting system with speed and accuracy
  • Plan, organise and manage own workload to ensure your contribution to the school's financial reporting process is achieved in a timely and accurate manner
  • Provide financial support to team members
  • Process and reconcile bank accounts, credit card accounts and petty cash accounts
  • Process staff expenses
  • Ensure that school meal numbers are recorded accurately on a daily basis and these reconcile with invoices


  • Liaising with the Headteacher and SLT about the need to commence recruitment / draft adverts
  • Ensure Recruitment section of the school's website stays up-to-date with vacancies and recruitment information
  • Arranging interviews including coordinating senior staff diaries, arranging the programme for the day (with input from Senior Leaders) and making appropriate hospitality/room arrangements as required
  • Taking responsibility for pre-employment checks including checking a prospective employee's right to work in the UK and requesting occupational health clearance
  • Ensuring the details of all new staff are entered accurately onto SIMS in a timely manner and that the school's Finance Team receive the necessary details to add them to the payroll
  • Work with the Office Manager and SLT to arrange the induction programme for new staff
  • Manage the probationary process for support staff
  • Manage the school's Absence Management process
  • Manage maternity / paternity entitlements, ensuring that staff are informed in writing of their entitlement in a timely and accurate manner and that 'keeping in touch' and return to work processes are followed
  • Liaise with the school's payroll providing. Ensure that the payroll provider has accurate and up-to-date information on staff remuneration at all times
  • Maintain school HR records, keep staff lists up-to-date including the 'appraisal tree' for teaching and support staff, the internal phone directory, evacuation checklists and the staff cascade list (used in emergency situations)
  • Arrange exit interviews between departing staff and the Governing Body as required
  • At the request of the Business Manager or Headteacher, formally minute any meetings held under the school's HR policies.

The Successful Applicant

You will be a proactive team player able to prioritise your work load and ensure you provide the best service possible to the children and parents. You will have proven experience of both finance and HR.
