Job Description

As a Facilities Support Officer you will be responsible for;

  • To ensure all spend is within budget reporting exceptions to the Building & Office Services Manager.
  • Support Reception in operation of the Facilities Helpdesk operation and respond to issues or complaints logged within a timely manner, escalating to the Building & Officer Services Manager where appropriate.
  • Responsible for carrying out checks on external suppliers and third party contractors, monitor and report on achievement against Key Performance Indicators on a monthly basis to the Building & Office Services Manager and where appropriate any third party suppliers.
  • Responsible for the supervision of the Post Room team and outsourced Reception team ensuring service levels are achieved, this may include providing additional cover.
  • Responsible for carrying out regular car park audits both on site and at Sweet Street ensuring all employee records are up to date, full utilisation of the car park and compliance with the Car Parking Policy.
  • Responsible for the on line Assessment programme providing monthly statistics on progress.
  • Responsible for managing and updating the Archiving Database and ensuring compliance for disposal of expired items.
  • Responsible for accurate raising of Purchase Orders in Oracle within agreed Service Levels
  • Updating the departmental business continuity documentation for the site, ensuring this is always up to date, through close liaison with the BCP Forum. Ensure Leeds travel requests are actioned within agreed service levels and compliance with company travel policy.
  • To assist with the procedures for emergency evacuation for the site and to act as a fire marshal in the event of an emergency.
  • Ensure the Leeds Office has the appropriate number of First Aiders/Fire Wardens/DSE Assessors and that their training is all up to date.
  • Ensure all consumables for the Leeds office are ordered (Stationery, printed matter, consumables etc.) ensuring regular checks are carried out to avoid shortages and provide statistics on usage.
  • Monitor and ensure maintenance of cleanliness, tidiness, and overall professional appearance of internal and external aspects of the Leeds Office by carrying out regular inspections.
  • Manage meeting rooms for the Leeds office, liaising with external suppliers to ensure they are set up and refreshments provided as per customer's specifications.
  • Act as the central point of contact for Head Office Accounts Payable team in relation to administrative queries for procurement and invoicing.
  • Provide detailed management information on supplier spend for budgetary control and analysis.
  • Provide administrative support to the Building & Office Services Manager.
  • Liaise with external contractors to arrange site visits and update and maintain the Planned Preventative Maintenance schedule, reporting exceptions to the Building & Office Services Manager monthly.
  • Update and accurately maintaining the Fixed Asset Register.
  • Assist the Building and Office Services manager in the administration of Health and Safety requirements for the Division including coordinating the quarterly meetings, taking notes and ensuring actions are completed.
  • Be the point of contact for the operation and scheduling ensuring timely and up-to-date content is published within agreed SLA's.

The Successful Applicant

Must have a proven facilities background gained in a professional services environment with previous supervisory experience.

Must have strong written and verbal communication skills, the ability to multi task with competing demands and prioritise accordingly, the ability to work to deadlines and within Service Level Agreements, proven knowledge of MS Office; including Word, Excel, PowerPoint and Outlook and a knowledge of purchase ordering systems and the administration of financial cost coding,
