About Our Client

Our client, a large and global-leading organisation are looking for an immediately available Executive Personal Assistant to join their team on a temporary basis.

Job Description

Duties and responsibilities of the Executive Personal Assistnat include, but are not limited to:-

  • Project management, including managing and tracking progress of the strategy and highlighting critical areas
  • Producing business reports, MI reporting and analysis
  • Creation of high-level PowerPoint presentations for the Executive Team
  • Collate data and produce reports for Board and Executive meetings
  • Actively represent and act for the Executive Team Member at meetings
  • Write communications in the correct tone and on brand for appropriate audiences (internal and external), whilst including relevant stakeholders
  • Fully prepare and brief the Executive Team Member before meetings including recommendations on a potential course of action
  • Co-ordinate and proactively manage a very busy diary whilst handling and rescheduling, organising of delegates and monitoring acceptances and declines, whilst prioritising and filtering out non-essential meetings
  • Ability for flexible working in order to provide ad hoc support on an exceptional basis to the Executive Team Member in the UK and when they are travelling in different time zones, e.g. to support when flights or hotel rooms are cancelled without notice.
  • Make and co-ordinate arrangements for stakeholders for various internal and external meetings on a global basis
  • Record and communicate minutes and actions where required
  • Manage a high volume inbox by prioritising, responding and taking appropriate action
  • Manage and respond to straightforward correspondence and produce draft replies for more complex issues
  • Manage and coordinate regular and complex travel itineraries including planning, accommodation, visa requirements and expenses.
  • Screen incoming calls as necessary and deal with general enquiries or transfer as required
  • Collate papers for Board and management meetings
  • Deal with highly sensitive and confidential information appropriately
  • Plan ahead in order to anticipate busy periods and changing priorities
  • Raise and manage department purchase orders
  • Undertake additional and or other responsibilities to meet business requirements.
