About Our Client

Our client, a reputable financial services company based in Cardiff City Centre are looking for an immediately available Executive PA to provide comprehensive support to their Managing Director.

Job Description

Responsibilities of the Executive PA include, but are not limited to:-

  • Provide full support to two Managing Directors
  • Collate papers for Board and management meetings
  • Create exceptional PowerPoint presentations and dashboards for the Executive Team Member to deliver
  • Collate data and produce reports for Board and Executive meetings
  • Creation of reports for the business function
  • Write communications in the correct tone and on brand for appropriate audiences (internal and external), whilst including relevant stakeholders
  • Lead and manage specific projects and events whilst providing project support for other business unit projects
  • Fully prepare and brief the Executive Team Members before meetings
  • Co-ordinate and proactively manage a very busy diary whilst rescheduling and monitoring acceptances and declines if necessary
  • Ability for flexible working in order to provide ad hoc support on an exceptional basis to the Executive Team Member in the UK and when they are travelling in different time zones, e.g. to support when flights or hotel rooms are cancelled without notice.
  • Make and co-ordinate arrangements for stakeholders for various internal and external meetings
  • Record and communicate minutes and actions where required
  • Manage a high volume inbox by prioritising, responding and taking appropriate action
  • Manage and respond to straightforward correspondence and produce draft replies for more complex issues
  • Manage and coordinate regular and complex travel itineraries including planning, accommodation, visa requirements and expenses.
  • Screen incoming calls as necessary and deal with general enquiries or transfer as required
  • Deal with highly sensitive and confidential information appropriately
  • Plan ahead in order to anticipate busy periods and changing priorities
  • Raise and manage department purchase orders

The Successful Applicant

The ideal candidate for the role will possess:-

  • Previous experience in a PA role working for an Executive

  • Confident self-starter, able to work proactively, think ahead and multi-task in a fast moving environment

  • Project management experience

  • Ability to demonstrate initiative and to suggest improvements to processes

  • Exceptional communication writing and report writing skills

  • Exceptional organisational skills and 'can-do' attitude

  • Sensitive and diplomatic management of multiple and high level stakeholders with a high level of confidentiality

  • Confidence in decision making and prioritisation of tasks

  • Experience of managing a demanding diary and inbox

  • Excellent knowledge and experience of MS Office

  • Excellent time management and attention to detail
