Job Description

EXECUTIVE PA, INTERNATIONAL ARBITRATION is a position that will encompass the below on a daily basis:

  • Complex diary management of partners, senior associates and managing associates using
  • own initiative to arrange meetings and conference calls and liaising with other secretaries/external clients during partner absence
  • Checking partner, senior associate and managing associate email inboxes and dealing with
  • correspondence where necessary in their absence
  • Collating documentation for meetings and circulating agendas in advance
  • Organisation of internal and external events, e.g. booking venues, travel, monitoring event responses, negotiating costs, budget management
  • Assisting at client events, on an ad hoc basis
  • Booking attendance at conferences/seminars (including international travel) and organising trip itineraries
  • Working extensively with Business Development Team as required, to include helping produce tenders, credential sheets, events, pitches, legal submissions, researching clients and suggesting ideas
  • Managing marketing activities, processing spring seminars/handouts
  • Opening new clients and matters and adding precedent documentation to Filesite as appropriate
  • Assist with CDD/KYC to include processing conflict checks
  • Taking a proactive approach to building relationships with clients and their secretaries on a professional basis
  • Project managing large scale transactions, i.e. attending team meetings/delegating work etc.
  • Attending meetings and taking minutes as required
  • Creating Dealrooms to house-style folder structure and day-to-day Dealroom management - e.g. content management, admin, permissions
  • Drafting correspondence
  • Supervising and coaching junior team member(s)
  • Confidential client/partner audio and copy typing to a high standard of accuracy, within deadlines
  • Prepare and maintain client manuals/dealrooms and brief staff on client procedures
  • Taking responsibility for team WIP, including the organisation of WIP meetings and reporting back to relevant Business Manager
  • Taking responsibility for checking that fee earners' timesheets are up-to-date
  • Complex reporting - e.g. running marketing and financial reports and client reports across the team

The Successful Applicant


  • Excellent client care skills - ability to deal with queries from internal and external clients in a professional and polite manner
  • IT literacy - proficient in Microsoft Word, Outlook, Excel and PowerPoint
  • Knowledge of Dealroom is desirable
  • Fast and accurate typist (minimum 60 wpm)
  • Excellent organisation - able to take responsibility for own tasks and prioritise work in a calm and efficient manner
  • Time Management - able to work to very tight deadlines ensuring a high standard of accuracy
  • Excellent attention to detail
  • Communication - able to communicate in a confident and polite manner at all levels
  • Excellent language and grammar
  • Team player - able to work as a team member supporting other secretaries as appropriate
  • Flexibility in meeting client demands - in both the nature of work undertaken and working
