Job Description

Job Context

As part of the Customer Services Team the job holder will be involved in order processing and raising of quotations to customers. Being market served, fast paced and very competitive, the job holder will need to ensure that all queries are answered quickly and followed up until completion.

The role also involves General Customer Service and Administration duties such as raising return forms, assisting the Accounts department with in invoice queries, and promoting the use of web catalogues among customers.

On a daily and weekly basis all orders need to be updated ensuring that all relevant information regarding stock, delivery details and customer requirements are taken into account and actioned.

Problems Faced

The biggest challenge on the job is ensuring that all requests, from internal and external customers are acknowledged and actioned until completion.

Also, the position requires someone with a strong problem solving attitude that will allow us to offer our customers tailored solutions to any requests they may have.


The job holder will need to feed information through with regards to expected orders and customers specific requirements. This will be done on a daily and weekly basis by requesting fittings to be ordered from various suppliers.


The job requires good time management skills and the ability to coordinate, in line with the team's guidelines, the activities of the warehouse/ suppliers/ factory.

Directions Received

The job holder will have clear guidelines on what decisions can be made independently and which require either Supervisor or Manager approval. In general, this will be related to the cost of the decisions involved and the potential impact on customers.

Working Contacts

The position is exposed to working contacts up to Director level, therefore the job holder will have excellent interpersonal skills. The job will be measured by monitoring the objectives achieved and managing any mistakes made.

Impact on Consumer

Support delivery plans and advise departments of the requirements to ensure customer orders are delivered accurately and on time, to ensure the we retain and grow our client base.

  • Strong writing & computer skills (especially Excel).
  • Interest in Business Administration/Management.
  • Must thrive under pressure
  • Excellent telephone manner
  • High level of customer service skills and professionalism
  • Excellent attention to detail and accuracy
  • High capacity for problem solving
  • Highly organised and disciplined work habits
  • Must be flexible team player in accommodating overtime at short notice during peak times
  • Some technical background is desirable but not essential
  • Must be comfortable dealing with the warehouse, accounts management, contractors and suppliers
