Job Description

Corporate Receptionist Duties

1. Look after and maintain the Reception, kitchen and post room

2. Manage all incoming switchboard phone calls

3. Greet visitors & manage meeting room bookings

Maintain the online visitor system, and work closely with the building's Receptionists

4. Provide and manage post, delivery, fax and courier services

5. Miscellaneous

 Ensure the television is tuned to BBC News or a business-appropriate channel daily

 Manage daily exchange of data storage tapes

Facilities Administration Duties

  1. Security & Access

 Liaise with the building's the security office for all access cards and prepare for staff / visitor use

 Maintain a log for all passes

  1. Organise taxi, hotel and flight bookings and logs
  2. General administration for the Facilities department
  3. Update the Staff Contacts List
  4. Weekly collation and distribution of Staff Movement Sheets
  5. Induction Assistance

 Maintain and update the Reception and Support Staff Guide

 Conduct a facilities / health & safety induction for temporary and external staff

  1. Provide hospitality and catering assistance
  2. Stationery ordering and management of supplies
  3. Staff event assistance
  4. Conduct ad-hoc facilities research

Qualifications / experience required

 A minimum of 2 years' experience in a corporate Reception / Administrator role

 Experience of MS Office packages: intermediate / advanced Outlook, basic / intermediate Excel, Word and Power Point

 Must have an excellent telephone manner and be of very smart appearance

 Must have a pleasant, welcoming manner and be confident when dealing with important visitors

There are very strict grooming guidelines which must be adhered to in this Corporate Receptionist position. Please see below:


Please apply the following grooming regulations as standard practice when working on Reception.

 All clothing should be corporate style and consist of either smart trousers with matching jacket or smart dresses/skirts but these must be knee length or below and worn with tights. Any tops worn must be completely opaque. Smaller items of silver or gold jewellery and single earrings may be worn but no face-piercing jewellery.

 You should look fresh-faced but natural at all times. Natural lip gloss or lipstick should be worn; use of foundation, blusher, soft eye shadow and lightweight mascara (no fake eyelashes please) are optional as long as the overall effect is a natural look.

 Hair should be kept clean and neat at all times, and can be worn up or down.

 Your nails should be manicured and if painted they should be a 'corporate' professional colour with no chips, glitter or crackle polish.

Reception Etiquette and Professional Approach

Please smile when you greet anyone approaching Reception; be helpful and enthusiastic at all times. Demonstrate a 'can-do' positive attitude and show respect for all staff and service providers. Be aware of diversity and disability and treat all as you would like to be treated with good manners, helpfulness and courtesy. Be flexible and organised. When communicating on the phone or with staff and guests be polite and make sure your language and conduct is professional at all times.

Take responsibility for tasks and work that is given to you and ensure that all deadlines are met. If you are unable to meet a deadline, communicate the reason why, before the deadline date. Show initiative and bring forward ideas whenever the opportunity arises. Remain calm under pressure and accept constructive criticism. Aim to solve problems using the guidelines and information provided if you can prior to asking someone else but remember it is fine to ask questions if you're unsure of anything.


You will be given an induction on arrival which will include a grooming assessment. If you have been unable to dress appropriately you may be asked to either purchase appropriate attire in the local area or return home and change prior to starting work. The remainder of the induction will consist of health and safety guidelines and a tour of the office.
