About Our Client

International Magic Circle Law Firm based in London looking for a Business Development Secretary

Job Description

  • Organising meetings and managing diaries for all members of the International Relations team
  • Assisting with regular travel arrangements including ordering currency and creating itineraries
  • Reviewing incoming emails and following up as required
  • Amending PowerPoint presentations, updating brochures and other documents
  • Typing up meeting notes and assisting with follow-up
  • Photocopying, collating and printing material in a timely manner
  • Arranging payment for and keeping a record of invoices and expenses for the team
  • Maintaining a daily attendance register for the team and ensuring that the holiday calendar is up to date
  • Receiving and sorting mail
  • Taking messages accurately, listening to voicemail messages and passing to appropriate person(s)
  • Managing information using the features of Outlook and the document management system to maximise efficiency
  • Updating relevant intranet pages
  • Preparing mailing lists and managing high volume email distributions including the creation of newsletters
  • Updating databases with contact details and other information as required
  • Keeping legal information confidential
  • Ensuring compliance with quality standards and the firm's policies in general
  • Other general assistance as may be required.

The Successful Applicant

Business Development Secretary (Legal):

  • Computer literate with proficiency in all Microsoft Office packages
  • Fast and accurate touch typist, familiar with digital dictation
  • English communication skills (written, spoken and presentation), spelling and grammar essential
  • Discretion in relation to team confidential information
  • Resilience and ability to work in a fast paced, high demand environment
  • Strong attention to detail
  • Good organisational skills
  • Able to manage quantitative and varied information and prioritise work flow
  • Able to work effectively in a team
  • Open minded, friendly and reliable
  • Personable, but highly professional
  • Able to challenge process and seek out better ways of working
  • Able to learn new tasks and grow in the role
