About Our Client

Our client, a large reputable organisation based in Malmesbury are looking for an immediately available Administrative Assistant to join their team on a temporary basis.

Job Description

Duties of the Administrative Assistant include, but are not limited to:-

  • Raise purchase orders; ensuring they are coded and authorised correctly. Matching the invoice/PO and goods receipting each month for payment. SAP (software used) training will be provided. Maintaining a tracker for all purchase orders raised.

  • Support the Commercial Team with travel requests (local rail, international flights and hotels) as per the company policies. Ensure your traveller has everything organised for their trip, including international phones, currencies, transfers etc. Training will be provided.

  • Log requests and order all stationery requirements for the Commercial Team. Check in all received stationery against order and ensure distributed correctly and to the correct budget codes. Keep tracker updated for all orders. Manage the annual stationery budget ensuring the budget is not exceeded.

  • Distribution of mail received into the department on a daily basis. Support team by organising any DHL or other courier deliveries as requested.

The ideal candidate for the Administrative Assistant role will possess the following:-

Administrative experience - raising purchase orders, organising travel, ensuring the smooth and efficient running of the department.

What's on Offer

Knowledge of Microsoft Office, particularly Microsoft Excel is essential for this role.

SAP experience would be preferable, although training will be given.
